Gmail is Google’s free email service, offering users email storage, email communication, spam filtering, and search capabilities. It’s accessible through browsers, mobile apps, and desktop clients, making it one of the most popular and widely used email services globally.
With Zapier, Gmail and Textmagic can seamlessly connect and allow you to create a number of useful integrations. In this article, we’ll go over how to:
Connect Gmail and Textmagic via Zapier
Send a Gmail SMS notification for new emails
Send emails from new incoming messages or calls
Send emails for missed calls in Textmagic
Send SMS from Gmail via Textmagic
Textmagic is compatible with other apps from the Google Workspace suite as well. For other examples, you can read our articles on integrating Textmagic with Google Calendar and Google Sheets.
Connect Gmail and Textmagic via Zapier
To connect your Gmail and Textmagic accounts, you first need to log into Zapier. If you don’t have an account, sign up before proceeding.
Connect Gmail to Zapier by clicking on Add connection in the Zapier Apps section. Search for ‘Gmail’ and select it from the list. Then, complete the Gmail authentication flow pictured below to link your account.
Next, sign up for a Textmagic account or log in if you already have one. This will further streamline your operations through seamless Gmail SMS integrations.
Connect Textmagic to Zapier by navigating to the Apps section and clicking on Add connection. Type ‘Textmagic’ in the search bar and select the app.
A pop-up window will open, asking you to input your Textmagic API key and username. You can find the key in the Services > API tab of the Textmagic web app.
You’re now all set to start creating integrations. Click the Create button on your Zapier interface and start building your first Zaps.
1. Send a Gmail SMS notification for new emails
With Textmagic and Zapier, you can create convenient Gmail SMS alerts that will let you know when you have a new email. This helps you stay on top of your inbox and ensures timely responses. Here’s how you can do this:
Configure the triggering app & event for your automation. For App, select Gmail; for Event, select New Email.
Link your Gmail account in the next step if you haven’t done so already.
Under the Trigger tab, you can optionally select to receive notifications for emails in a specific mailbox only (Inbox, Draft, Trash, and more).
Test your trigger to ensure everything works properly. This isn’t mandatory, but we strongly recommend doing it.
Next, configure your action app & event. For App, select Textmagic SMS; for Event, select Send Message.
Link your Textmagic account to Zapier at the next step if you haven’t done so already.
In the Action tab, personalize your Gmail SMS alert. You can use variables in the message body as needed.
Next, add the message’s recipient. You can choose from a phone number, one or more Textmagic contacts, or one or more Textmagic lists.
You can also personalize the message’s sender in this tab by selecting one of your Textmagic numbers or adding a custom field based on variables.
At this step, you can customize your action with the maximum SMS parts count, a reference ID, phone number country & format, and message scheduling according to a timezone.
Test your Zap, then click Publish to activate it.
Optional: Send a notification for new emails matching a search
To further personalize your Gmail SMS alerts, you can create notifications for new emails that match a search only. The process is almost identical to the one above, with two exceptions:
For Event, select New Email Matching Search instead.
Under the Trigger tab, configure your desired search string with sender info, subject lines, and more.
2. Send emails from new incoming messages in Textmagic
Enabling email alerts for incoming text messages is possible by integrating Gmail and Textmagic. Follow these steps:
Configure the triggering app & event for your automation. For App, select Textmagic SMS; for Event, select New Incoming Message.
Test your trigger to ensure everything is working as intended.
Next, configure the action app & event for your automation. For App, select Gmail; for Event, select Send Email.
Customize the event under the Action tab. Input To and From information, as well as Cc, Bcc, and Reply To as needed.
Next, customize the email subject and body. You can use variables here to personalize the level of information.
You can configure fields such as Signature, Label/Mailbox, and Attachments at this stage.
Once you’re satisfied with the email, click Continue and test your Zap.
If everything works as intended, click Publish to activate your integration.
Optional: Send emails from new incoming calls in Textmagic
You can also set up the same email notification system for incoming calls. The process is almost the same as the one for new incoming messages, with one exception:
When configuring the triggering event, select New Incoming Call instead.
3. Send emails for missed calls in Textmagic
Zapier allows you to create an integration that automates email notifications for missed calls. This helps you minimize the number of customer interactions that fall through the cracks. Here’s how to do it:
Configure the triggering app & event for your automation. For App, select Textmagic SMS; for Event, select New Missed Call.
Test your trigger, then move on to the next step.
Configure the action app & event for your automation. For App, select Gmail; for Event, select Send Email.
Customize the event under the Action tab. Fill in the To and From information. Input Cc, Bcc, and Reply To details as needed.
Next, customize the email subject and body. You can use variables to add details about the missed call.
You can configure other fields as well. Once you’re satisfied with the email, click Continue and test your Zap.
If everything works as intended, click Publish to activate your integration.
4. Send SMS from Gmail via Textmagic
You can also send SMS from Gmail to outbound contacts. The process is fairly straightforward and similar to creating text message alerts for incoming emails. We’ve listed the steps below. However, please note that:
Compliance with local regulations is not guaranteed when you send SMS via Gmail. To ensure that you’re texting from properly verified and secured numbers, you should always use the Textmagic app directly.
Configure the triggering app & event for your automation. For App, select Gmail; for Event, select New Email.
Select your Draft mailbox if you don’t want to use the text from an email you send or receive. This will allow you to send SMS using your Gmail drafts.
Test the trigger before proceeding.
Next, configure your action app & event. For App, select Textmagic SMS; for Event, select Send Message.
Under the Action tab, use the email body variable to fill out your desired text message’s body automatically.
Next, add the message’s recipient (s). Select from a phone number, one or more Textmagic contacts, or one or more Textmagic lists.
Configure other relevant fields, then click Continue and test the Zap.
Once you’ve ensured everything is working, click Publish to activate it.
Conclusion
Connecting Gmail and Textmagic via Zapier offers seamless communication benefits, bridging the gap between email and SMS for efficient information exchange. Setting up push notifications for texts and emails and adding another texting alternative to your roster effectively take your inbound and outbound communication to the next level.
These handy integrations can simplify workflows, improve response times, and ensure important information is always accessible. This demonstrates the power of connecting disparate communication tools for enhanced productivity and convenience.
